Our Privacy Protection Policy
We at Woodbury Baseball and Softball (WBS) are very concerned with protecting the privacy of our players, coaches and umpires and the information that we obtain from or about them. We take our obligation of sustaining the confidentially very seriously. In addition to this ethical obligation of maintaining the confidentiality of information provided to us, Public Act 08-167 of the State of Connecticut requires that WBS creates and publishes a Privacy Protection Policy with regard to how we protect the use of personal information and social security numbers. This Privacy Protection Policy covers all the personal information and social security numbers we obtain, whether directly or indirectly. It is our intention to protect the confidentiality of personal information and social security numbers of all people that we obtain or which are provided to us. Personal information is information that is capable of being associated with an individual such as a driver’s license number, state identification numbers, account numbers or health insurance identification numbers. As used in this Privacy Protection Policy notice personal information and social security numbers are sometimes referred to collectively as “personal information” or “non-public information” or NPI.
How we protect the confidentiality of personal information and social security numbers.
At Woodbury Baseball and Softball (WBS), we obtain personal information and/or social security numbers from our players, coaches or umpires, or other parties only if we need the personal information during the course of performing background checks, medical claims or preparing 1099 forms. We do not arbitrarily obtain personal information from any person. We do not obtain personal information until such time it is needed and the personal information we obtain is used only for the intended purpose(s) stated when collected. We disclose this information only for the intended purposes and nothing else.
How we prohibit the unlawful disclosure of personal information and social security numbers.
At Woodbury Baseball and Softball (WBS), we only use personal information obtained by us for the stated, intended purpose and nothing else. We do not disclose “personal information” to a third party, beyond the stated, intended purpose, without notifying the individual. It is not our policy to disclose personal information obtained by us or provided to us in a manner or for a purpose that contravenes state or federal law.
How we limit access to stored personal information and social security numbers.
At Woodbury Baseball and Softball (WBS), it is not our policy to store social security numbers. Social security numbers are used and or preserved only for the intended purposes for which they were obtained. While in our possession, all electronic files will be password protected and access will be limited to those who require it. It is our policy to shred, destroy or otherwise obliterate a party’s social security number at the time it is no longer necessary. If the need for personal information is no longer necessary and after the appropriate time periods established for the preservation of files has expired, the personal information is no longer preserved or stored by us.
