Overview of January 2016 minutes

  • Salem has been advised to register with East Lyme Babe Ruth.

  • D. Perry and A. Hanson attended the Babe Ruth State Meeting on January 31, 2016.
  • D. Perry and G. Toback will attend the Babe Ruth District Meeting on February 17, 2016.
  • D. Perry and A. Hanson are the current Webmasters and are handling online registration.
  • We are still unable to access the ELBR Facebook page. A. Hanson will look into getting this up and running.
  • Motion to approve made by C. Holloway, seconded by J. Dipolina. All present were in agreement.

Treasurer’s Report (see attachment Treasurer’s Report for details)

  • Reviewed by all in attendance. One pending transaction as of February 10, 2016. G. Ellis will create a 2016 budget that will be ready for review at the March 2016 meeting.
  • Motion to approve made by G. Toback, seconded by J. Chambers. All present were in agreement.

  • D. Perry received a field use guide from East Lyme Parks and Recreation Department. It has been brought to our attention by Dave Putnam, that Babe Ruth has the first right of refusal on the use of both Veteran’s Field and Bridebrook Park.

Reports of Committees

  • Ways and Means Committee to meet February 10, 2016 immediately following the Board meeting
  • No other updates to report

Unfinished Business

  • Nothing new to report

New Business

  • Registration
    • Currently there are 25 players registered (approximately $2250 taken in). It was estimated that for session I 2015, there were about 72 players registered. By Session II there were about 90 players registered. We anticipate a similar number for 2016.
    • ELBR piggybacked on EL Little League registration on January 30, 2016 & February 6, 2016. Both were held 9am–12 pm. Only a few people showed up to register.
    • ELBR will piggyback on Salem Cal Ripken registration on February 20, 2016 from 9am–12pm.
    • D. Perry is working on getting the word out at East Lyme schools, Salem School and Old Lyme schools.
    • There have been some issues with families not registering for both sessions.     A. Hanson is currently working with families to remedy the issue.
  • Financial Deficit
    • $1600 was paid in advance for the 13-15U tournament. We will get $1400 of that back in July 2016 when the other teams pay their tournament fees. ELBR also anticipates spending approximately $1800 for charter and insurance fees.  This will leave us with a deficit in the account. In order to remedy this, we are looking for the Ways and Means Committee to push sponsorships and speak with Pfizer employees about paid volunteer opportunities through their employer.  We are also hoping to push registration.
    • D. Perry is in contact with ELHS about having their students make ELBR shirts and hats for the season. Doing so should help with our budget deficiency issue.
  • 13U Travel Team
    • Try-outs will be held March 2nd and 3rd from 6pm–8pm at Renegade in Waterford. Players only need to attend one session and will need to be registered for the spring season before being allowed to try-out. ELBR will pick up the tab for using Renegade, anticipating the cost to be $120. Players who make the team will be required to pay an additional fee to be decided at a later date.
  • Hitting Clinic
    • Jack Biggs and ELHS baseball players will hold a hitting clinic open only to Babe Ruth players (this excludes any players on the HS team). Two sessions will be held on March 5, 2016 in the ELHS South Gym. Sessions will be  1pm–2:30pm and the other  3pm-4:30pm. It’s limited to 24 players per session and will cost $20, but participants have to be registered for the ELBR spring season.
  • ELBR Assessments
    • Currently looking into holding them at Renegade since most other facilities in town are already booked. Tentative dates to be set by J. Bragaw and G. Toback. Complete details to be reported to the Board at the March 2016 meeting.
  • 13-15U Tournament
    • The Board decided on Double Elimination for the tournament. This will consist of an 8 team bracket which C. Holloway will work on.
    • C. Holloway presented the Board and those present with a draft of the host book. The Board will review it and report to C. Holloway with further questions. He also asked the Board to consider charging local accommodations, restaurants and attractions a fee for advertising in the Host book.
  • Motion to approve made by C. Holloway, seconded by J. Bragaw. All present were in agreement.

  •  Following Meetings have been approved and will be held in the Oliver Chendali Room at the East Lyme Parks and Recreation Department from 7 - 9 pm:
    • March 9, 2016
    • April 13, 2016
    • May 11, 2016
  • Please contact D. Perry ahead of time if you cannot make the meeting that way we can reschedule with ample amount of time if need be.
